Full Service Management

 

Most Community Associations have the need for full service management, since Board and Committee Members often have very busy lives with work, families, and other commitments. These Communities require professional help from a management company they can trust and rely on to provide the day to day administrative support, as well as, the required information the Board and Committee Members need to make informed decisions for the Community they have been entrusted with to govern effectively. Maximum Property Management will provide all the services necessary to have a well run community and make the Board & Committee members job that much easier.

The following are the services that will be provided with Full Service Management:



Administrative Services


Communication and delineation of responsibilities are the keys to effective governance.  Maximum Property Managements strives in all ways to help community associations develop and maintain delineation of responsibilities between the Board of Directors, committees, and volunteers while assisting to promote communication within the association community.

The governing documents of an association are the focal point for all decisions.  Our association managers understand this and immediately become familiar with the association’s specific documents.  We provide advice to the Board of Directors based on knowledge the documents, our expertise and our experience.  Our role is to support and follow the decisions of the Board of Directors. 

We believe that clear, prompt communication is critical to maintaining adherence to the governance by community members.  Therefore, we offer Online Services for members to stay informed of board and committee meeting schedules, meeting minutes and actions taken.  Newsletters and announcements are also available.  Through this service community members may submit questions, concerns and/or requests; participate in surveys and vote.

Maximum Property Management will provide the following specific day to day services to support and carry out the directives from the Board of Directors:

  •  Assist the Board in establishing goals, objectives, priorities and expectations
  • Assist the Board with compliance of the Association’s covenants, by-laws, and rules and regulations
  • Maintain unit owner records to include name, address, and alternate address, phone numbers and email addresses if available
  • Coordinate with committees to answer questions, submit homeowner requests and provide homeowners results of committee(s) decisions
  • Maintain, at Association’s expense, insurance coverage
  • Assist with insurance claims
  • Monitor and pursue delinquent accounts and mail monthly notifications for overdue accounts
  • Mail authorized rules violation notices, collection letters and other notices as needed on behalf of the Association
  • Provide all needed documentation to Associations’ attorney for delinquent accounts or other identified reason
  • Receive and review all Association mail and perform appropriate actions
  • Prepare a proposed annual budget prior to the end of each fiscal year
  • Assist in determining estimated short and long term reserves based on study done at Association’s expense by a third party firm
  • Assist with property and timely completion of governmental reports and licenses as required
  • Attend and participate in up to 11 monthly Association meetings and one annual meeting per year
  • Serve as liaison with Association members, realtors, mortgage companies and title companies
  • Respond to homeowner complaints, questions and request in a timely manner
  • Be available for emergencies on a 24-hour a day, 7 days a week basis
  • Serve as registered agent for the Association      


Business and Financial Services


Maximum Property Management will maintain complete, accurate financial records.  Each association managed by our company will have their own separate operating and reserve accounts. 

We believe providing the Board of Directors complete, accurate and timely association financial reports is critical to the operation of the association and decisions to be made by the Board. 

The following reports will provided on a monthly basis:

  • Balance Sheet
  • Income and Expense Statement with Budget Comparisons
  • Cash Disbursement Report
  • Account Receivable Report
Other financial services provided:
  • Periodic collections and deposits of Association dues, charges and assessments
  • Provide, at Association’s expense,  payment coupons if applicable
  • Reconcile all bank accounts on monthly basis
  • Maintain accurate homeowner ledgers
  • Maintain records showing receipts and expenditures of the Association
  • Mail authorized vendor payments on behalf of the Association
  • Provide financial and other information to the Association’s accountant or CPA for preparation of tax documents and audits.


Property Maintenance Services

Assist in monitoring architectural request and covenant compliance

  • Complete regular inspections of the property
  • Report violations of the Covenants, Rules and Regulations and the Design Standards
  • Provide notice to homeowners whose property is out of compliance
  • Work with homeowners to resolve the issue
  • Obtain and provide bids from vendors for contracted services and assist in monitoring contractor performance
  • Issue work orders for necessary repairs and maintain a record of open and closed work orders
